Class Management Software

Physiofit Leeds Ltd (‘Physiofit') uses an external Class Management Software System called Team Up to run classes. (www.goteamup.com). To attend classes clients are required to set up an account with Team Up to register, complete a Sign Up form and agree to the Terms and Conditions and Privacy Policy.

Purchasing Classes

Physiofit operates classes in blocks which coincide with the Leeds City Council School half term blocks (Block). These are between 5-8 weeks long and dates for the Blocks are shown on our website and on Team Up. To attend classes a Membership Pack is purchased via Team Up to cover a weekly class for the number of weeks in each Block. If joining after the Block has started the Membership Pack is adjusted to cover a weekly class for the remaining number of weeks of each Block. Membership Packs are sold according to level and/or type of class (e.g. Beginners, Intermediate 1, Neuro, Ante Natal etc.).

New Clients

Physiofit requires that clients join a class that is appropriate to their health status, experience and ability. We allocate clients to a weekly class according to these factors and their availability. We require that new clients contact us prior to purchasing a Membership Pack. If a Membership Pack is purchased without prior agreement with the Pilates coordinators at Physiofit, we reserve the right to cancel the Membership. In these circumstances a refund for unused classes will be offered.

Existing Clients

Two weeks before the end of each Block existing clients will be contacted and offered priority booking for the subsequent Block. In order to retain their place in their current class, clients must purchase a Membership Pack and book their regular class for each week in the Block.

One week before the start of the new Block, class bookings will then be opened up for any client who has purchased an appropriate Membership Pack. We cannot guarantee a specific class space for an existing class member once this date has passed.

Class credits

If a client is unable to attend their scheduled class, a minimum of 2 hours' notice is required to receive a credit on their Membership Pack. Credits can be applied to any alternative class within the same Block, subject to availability, and are valid for use at any time during the Block. However, credits cannot be used to attend more than two extra classes in a single week.

After each Block (except the June/July and Summer Block) there is a Holiday week, where a smaller timetable of classes is run to allow extra opportunities for credits to be used up. These can also be paid for as extra. These classes will be released for booking on Team Up two weeks before the end of each Block. Booking is first come first served. If there are not enough participants booked on any Holiday class it may be subject to cancellation at short notice. Once the expiry date of a Membership Pack is reached any classes not used will be lost.

Refund Policy

Refunds and credits will only be offered under exceptional circumstances, where we may consider cases on an individual basis. To request consideration, clients must contact the Pilates coordinators at pilates@physiofitleeds.co.uk as soon as a potential issue arises.

Class Cancellation

In the unfortunate event of a class being cancelled such as due to staff sickness, adverse weather conditions or other unforeseen circumstances, clients will be offered a class credit to be used before the expiry of the Membership Pack.

Instructor Changes

If the regular instructor is unavailable, Physiofit will make every effort to provide cover with another qualified Physiofit Pilates instructor to avoid cancelling the class. As a result, the class instructor may change without prior notice. In some cases, an instructor may be replaced for an entire Block without advance notice.

Parking

Parking is available (subject to availability) at the back of the Orchard building (right turn just before the building) or to the side of the building (past the Orchard taking the first turning on the right). There is also on street parking if the car park is full.

Conduct and Behaviour

Physiofit operates a zero-tolerance policy regarding any form of misconduct or abusive behaviour towards staff or other class members. Anyone reported for such behaviour will be asked to leave the class immediately and will forfeit any remaining classes on their Membership Pack.

Exclusion of Liability

As with all fitness and exercise programmes, whether in-person in a studio, a live video class, or using a pre-recorded class, clients must use their common sense. By performing any fitness exercises, particularly with reduced supervision (live via video) or without supervision (pre-recorded videos), clients are participating at their own risk. Physiofit will not be responsible or liable for any injury or harm sustained during participation in a Physiofit class.

On initially purchasing a Membership Pack, and annually thereafter, clients will be asked to complete a medical questionnaire and a mobility questionnaire. It is the client’s responsibility to inform their instructor of any changes to their health or mobility. This ensures that classes can be appropriately tailored to individual needs and that any potential risks are minimised. Physiofit reserves the right to request updated information at any time and may advise alternative participation or modifications if deemed necessary for the client’s safety.

If clients have concerns about their physical condition, they should seek guidance from a medical professional prior to participating in classes. If an instructor deems a client’s health may be at risk, they reserve the right to refuse access to the class. Physiofit does not accept liability for injury to clients on the premises, including within our car parks.

Lost Property

All personal belongings are brought onto the premises at the client’s own risk. Physiofit does not accept liability for any loss or damage to client property. If items are left or found, they will kept in a lost property boxes for safekeeping. If a client believes they have lost an item on our premises, they should ask Reception to check the lost property. Any items not claimed within 28 days will be donated to charity.

Changes to Terms and Conditions

These terms may be updated periodically. The most current version of the terms can be found on our website. By attending Physiofit classes, clients are deemed to have accepted the most recent terms and conditions.
